PROTECT / FIELD NOTES

Pause for a moment before you paste.

Useful context and unnecessary disclosure are different things. Give the tool what the task needs, and keep the rest out of the conversation.

01

Make a smaller working copy.

Before sharing a document, decide which part of it the task needs. A question about wording may need one paragraph rather than an entire customer file. A layout review may need an image of the interface without the real people and records inside it.

Create a separate copy for the task. Remove unrelated names, contact details, account numbers, private links, and internal comments. Keep the original unchanged so that you can compare your edited example without losing the source.

02

Replace identifiers consistently.

Use clear placeholders such as Customer A or Project B when the identity does not affect the answer. Apply the replacement consistently so the relationships remain understandable. Do not leave the real identity in a filename, screenshot corner, document property, or copied URL.

A placeholder does not make every detail harmless. An unusual combination of facts may still identify a person or organization. Reduce the example to the minimum that demonstrates the issue.

03

Treat access information as access information.

Passwords, API keys, recovery codes, session links, and binding secrets can grant access. They are not ordinary background context. Keep them out of prompts and public examples. When troubleshooting, describe the error and the relevant configuration shape without supplying the credential value.

Review screenshots as carefully as text. A browser tab, notification, address bar, or visible password-manager entry can add information you did not intend to include.

04

Know where the example is going.

Different products and accounts can have different settings for storage, retention, sharing, and model improvement. Check the current controls and policies of the service you are actually using. Do not assume a setting from one tool applies to another.

For work information, follow the organization’s approved process. If you are unsure whether material is appropriate to share, use a synthetic example or ask the responsible person before uploading it. You can often solve the wording or structure problem without the private record.
